What happens to the calls you don't answer

A missed call is often a customer calling the next business on the list. Here is how one text from your own number keeps them.

Key takeaways
  • Many callers who reach voicemail hang up without a message and try the next name on the list.
  • One short text from your business number gives them something to answer while you finish the job in front of you.
  • Ring your phone first and text only if nobody picks up; never text the same caller twice in a few minutes.
  • A text back to someone who just called you is a reply, not a promotion. Keep it that way.

Why the missed call is the one that costs you

Someone who calls a business usually needs something now. They searched, they chose you, they dialed. If nobody answers, the easiest next step for them is the second result, not your voicemail greeting.

A voicemail asks them to wait. A text asks them a question they can answer from wherever they are, and it keeps your business as the open conversation on their phone.

What a good text back says

Short, with your business name, an apology and one easy next step. For example: “Hi, this is Green Valley Plumbing. Sorry we missed your call, we're with a customer. Text us what you need and we'll get right back to you.”

Keep it under 160 characters so it arrives as one message, and write it the way you talk.

Ring first, then text

If you can often pick up, let the call ring your cell for about 20 seconds first. If you answer, no text goes out. If nobody does, or you're busy, the caller gets the text.

Callers who try again right away shouldn't get a second text: one text per caller every 30 minutes is plenty. Hidden or blocked numbers can't be texted, so they hear a short message asking them to call again.

Keep it a reply, not a campaign

The text answers a call the person just made. Don't add them to promotions unless they say yes to that separately. In the US, business texting goes out from a number registered with the carriers (A2P 10DLC or toll-free verification), and anyone can reply STOP.

How Valeria One does it

Connect your own Twilio number once and Valeria One points its calls and texts at your account. Add your cell if you want it to ring first, and change the message if you like. Every text back lands in your inbox with the caller's record, so you can book them, quote them or send a payment link from the same place.

Questions

Does it work with the number I already have?If your number is in Twilio, yes. If it's with another carrier, you can move it to Twilio or forward unanswered calls to a Twilio number; the text then comes from that number.
What if the caller is on a landline?A landline can't receive the text. That's one more reason to let your phone ring first.
